Travel (airfare, transportation, hotel) is at your expense. There are opportunities for discounts on airfares to New Orleans, as well as free shuttle transportation upon your arrival at Louis Armstrong New Orleans International Airport (MSY) to get you to the Hyatt Regency New Orleans. Yes, EPIC has arranged discounts with Delta Airlines, Southwest Airlines, and United Airlines. Please see details on how to make reservations under this discount plan under the “Get to N’Awlins/Flight“ tab of the EPIC 2018 web site.
EPIC 2018 has arranged for a special discount for all attendees with Hertz.
This discount is available on a wide-array of vehicles, from economy up to premium SUV. At the time of reservation, meeting rates will be automatically compared to other Hertz rates and the best rate will apply.

There will be a shuttle to and from Louis Armstrong New Orleans International Airport (MSY) and the Hyatt Regency New Orleans, which is located about 15 miles from the airport. Take advantage of the free shuttle service!
How are meetings, seminars, activities, meals, and the Tradeshow being handled since two dealer groups are co-hosting EPIC 2018?
For the 6th year, EPIC 2018 continues the practice of one comprehensive Tradeshow floor for all members of Independent Stationers and TriMega. This allows us to maximize our supplier involvement, increases networking opportunities and reduces expense. Meals and activities are open to members of both dealer groups and will be organized so that all attendees, including suppliers, attend together. Each dealer group will hold its own, separate Membership meeting. For seminars, each dealer group will hold some sessions specifically for its members, and there will also be seminars that are open to all attendees, again including suppliers.

Events which are open to Exhibitor Attendees are:
- Southern Bayou Scavenger Hunt (benefiting City of Hope) and Opening Welcome Reception (Monday)
- Education Forums (Tuesday)
- Mardi Gras in the Big Easy (Tuesday)
- Breakfast, Helping Hands Give Back Event, Tradeshow & Lunch*, Let the Good Times Roll Prize Drawing Reception (Wednesday)
- Shuttles Wed evening to French Quarter/Frenchman Street
- We encourage Exhibitor/Attendee dinners Wednesday evening.
*If you will not be able to leave your booth for lunch during the Tradeshow, you can have a boxed lunch delivered to you – order during registration
Anything that is dealer- or group-specific would not be appropriate events for suppliers to attend. This includes the groups’ board meetings, group-specific seminars, and membership meetings.

You will receive a link to the Exhibitors Kit after your registration for booth space is completed. This Kit will give you the proper and necessary forms for shipping to the convention, as well as for additional services such as internet or electric power, and so forth. You will pay the Exhibition company or third party provider as specified for any ordered services or products.
EPIC 2018 is by invitation only. Vendors who are contracted with either Independent Stationers or TriMega, select industry suppliers, and other service partners will be invited to attend. No other suppliers will be allowed to register without express written approval from either TriMega’s or Independent Stationers’ management.
You will set up your exhibit space on Tuesday, October 16, between 7:00am and 6:00pm. This is the only time set-up is allowed, so please plan your travel accordingly.
Tear down can begin at the close of the Tradeshow on Wednesday, October 17, at 4:30 p.m. All tear-down needs to be completed by midnight.
The cost to suppliers is dependent upon a number of decisions you will make: booth size, sponsorships, activities, how many attendees will you register.
Many sponsorship opportunities are available at a wide range of dollar values and can be very beneficial in placing your company name front of mind with the attendees.
There are 4 different booth size options for EPIC 2018, with corresponding costs, and numbers of attendees included in that price. Attendees over the “free” registrations included in the booth cost will pay a registration fee of $199 during registration.
Booth sizes and Prices are:
a. 8’x8′ – $7,990
b. 10’x 10′ – $11,990
c. 10′ x 20′ – $17,990
d. 20’x 20′ – Call for availability & pricing
The EPIC 2018 hotel group rate is in effect only until Friday, August 31, 2018, so make your reservations early!
The EPIC 2018 group rate will be offered 3 days prior and 3 days after the room block dates, subject to availability of rooms at the time of reservation.
The dress code for all EPIC 2018 events (including seminars, tradeshow, dinners, etc.) is business casual.
Your company will be invoiced for booth space, sponsorship, and any other related charge by Independent Stationers on behalf of both dealer groups for 2018*. (In the past exhibitors would have received an invoice from each group for their portion of the conference fees). If you are planning to participate in a group-scheduled activity or tour, you will pay for that via credit card when you register. You will pay for your individual hotel room and other hotel charges on your own, following your company guidelines. Other Trade Show expenses you incur, such as for additional seating, signage, display set up, etc. will be handled between you and the Exhibitor Management Company.
*If your company is a vendor to just one of the two dealer groups, that group will invoice you on behalf of EPIC.
